Every physical space in your school lives in one list — classrooms, labs, offices, the gym, the library — and each one has a schedule of its own.

Two related tasks need a different privilege: opening a room’s schedule needs Schedule Admin (View), and setting a staff member’s home base needs Staff Profile (Edit).
Rooms in Mosaic are places, not possessions. A room is not assigned to a teacher; it holds whatever meets there. That is what makes a room schedule and double-booking detection possible.
The room list
Section titled “The room list”Go to Settings → School → Rooms & Locations.
Each room has:
- Room name — a short, unique identifier such as HS025, Computer2 or Library. Keep these short: the name is what shows up in class lists, schedules and pickers.
- Type — Classroom, Lab, Office, Common area, or Other.
- Home base for — which staff members are normally found here. Read-only on this screen (see below).
- Normal capacity, Maximum capacity, Student desks — optional.
- Classes — how many classes meet here in the school year you’re viewing.
Room type
Section titled “Room type”The type orders the room dropdown when you assign a room to a class: teaching spaces come first and offices sink to the bottom.
It is an ordering, not a restriction. Every room stays selectable, because a class legitimately meets in the library, the gym, or a converted office.
Capacity
Section titled “Capacity”Capacity is optional, but if you set Maximum capacity Mosaic will flag any class on the room’s schedule whose enrollment exceeds it.
Home base for
Section titled “Home base for”Home base for lists the staff members based in the room. It is derived and cannot be edited here — it is set on each staff member’s own profile, under Home base.
A home base is a directory fact: where to find someone between classes. It does not schedule anything and does not reserve the room. Two staff members can share one home base, and a staff member working at two schools has a home base at each.
Room schedules
Section titled “Room schedules”Go to Schedule → Room schedule, or use the row menu on any room in the list. You can also search a room name in the search bar at the top of the page.
The schedule shows every class meeting in that room this year — period, term, which weekdays it meets, the class, the teacher, and how many students are enrolled. If the class is over the room’s maximum capacity, it is flagged.
Classes with no room assigned do not appear on any room schedule. The Classes have a room check on your School Health page lists them.
Double-booked rooms
Section titled “Double-booked rooms”Two classes conflict when they share a room, share a period, meet on at least one common weekday, and their terms overlap. Two classes in the same room and period, one in Q3 and one in Q4, are not a conflict; a year-long class and a semester class there are.
Mosaic surfaces conflicts in three places:
- A banner and a row marker on the room schedule.
- A warning on the class’s Details tab, naming the classes it collides with.
- The Rooms are not double-booked check on your School Health page.
All three are advisory and never block a save. Schools double-book on purpose — a split class, a co-taught block, a room large enough for two groups — so Mosaic names the collision and leaves the decision to you.
Where a class’s room is set
Section titled “Where a class’s room is set”The room a class meets in is set on the class itself, under Schedule → the class → Details → Room. That is the only record of what meets where.
Two settings feed it a starting value when a class is created:
- The course’s Default room (Schedule → Course → Scheduler).
- Failing that, the teacher’s home base at that school.
Either way it is only a starting point — changing a class’s room afterwards changes nothing else.
Deleting a room
Section titled “Deleting a room”Deleting a room does not delete the classes that point at it; those classes simply end up with no room. If any classes in the current year still meet in the room, the confirmation tells you how many before you continue.
