Generating Report Cards

When grade entry is complete, an administrator produces the finished PDFs and delivers them to families. Mosaic generates reports by division, and the same screen handles report cards and progress reports.

Generating, emailing, and downloading reports are administrator tasks.

  1. From the Assessment section, open Grades Admin.
  2. From the Menu, choose Generate Report Cards or Generate Progress Reports for the current term.
  3. The screen lists each division with columns for Students, Generated, Emailed, Status, and — when applicable — Withheld.

Each division row has a primary Generate and email button, plus a dropdown with individual actions:

  • Generate — builds the PDF report cards for the division without sending anything. The Generated count updates.
  • Email — sends each family their student’s report by email. The Emailed count updates.
  • Download — opens a dialog to download the PDFs yourself, for printing or archiving.

Working division by division lets you release younger grades on one schedule and older grades on another, or re-generate a single division if a late correction comes in.

The Download dialog offers:

  • Format — the file format for the download (including PDF).
  • Sort order — how the reports are ordered in the file (for example, by grade level).
  • Include withheld — check this to include withheld students’ reports in your download (useful for internal review even when they are not being sent to families).

Report cards can be automatically withheld from families with an outstanding balance. Click the Withholding Mode (gear) button to configure it:

  • Standard — withholds based on your school’s balance settings.
  • Strict — additionally withholds based on a date you provide.

Withheld students are counted in the Withheld column and listed on the Withholding List. Withholding affects delivery only — the report is still generated, and admins can still download it with Include withheld. When a family settles their balance, their report is released automatically on the next email run.

  • Families with email receive their report directly; check the Emailed count to confirm delivery went out.
  • For families without email, or for your own records, use Download to print.
  • If a single student needs a correction after reports are out, fix it from their profile — see Adjusting a Student’s Grades — then regenerate that division.
