Family Action Center Overview

Give families one place to finish everything the school needs from them, and see at a glance who is done.

The Family Action Center lets your school send families a checklist: a short list of tasks such as “Review your contact information”, “Sign the enrollment agreement” or “Clear your account balance”. Families work through it in the family portal. Staff watch the progress, check off what the office confirms, and follow up with the families who haven’t finished.

Typical checklists:

  • Back-to-school forms: review contact and medical information, acknowledge the student handbook.
  • Annual re-enrollment: review contact information, sign the enrollment agreement, sign the tuition contract, clear last year’s balance.
  • Field trip permission slip: one signed permission per student.
  • Orientation: staff confirm each new family attended.

Open Students ▸ Action Center. You can also reach it from the Action Center button on the Students home page.

The landing page has a Quick start panel with ready-made checklists, and below it, the list of your school’s checklists.

Required Access

Family Action Center — Contributor

Access is controlled by the Family Action Center permission, in the Communication group:

LevelWhat the staff member can do
Shared onlyNo checklists of their own. They see only checklists or tasks shared with them.
Limited contributorCreate their own checklists, using permission slips and staff-verified tasks only.
ContributorCreate their own checklists and fully control them, plus anything shared with them.
ManagerFull control of every checklist in the school, including those created by other staff.

The person who creates a checklist always has full control of it. Managers see a Mine / Everyone switch on the checklist list.

To change who has this permission, see Managing User Access.

You don’t need to give someone the permission to let them help. You can share a single checklist, or a single task, directly.

To share a whole checklist: open it, click the ⋮ menu and choose Share this checklist. Add staff members at one of these levels:

  • View only: see the checklist and its progress, without changing anything.
  • Check off: mark staff-verified tasks complete, waive tasks, and reopen them.
  • Full control: edit, add tasks, run and stop the checklist. They can’t share it further. Only the owner or a Manager can do that.

To share one task: on the checklist’s Tasks tab, open the task’s ⋮ menu and choose Share check-off. The person sees that task’s list only, with no other tasks and no reports. This works well for a nurse checking off medical forms, or a teacher checking off orientation attendance.

Someone who only has a share sees Action Center in their menu, with just the checklists and tasks shared with them.

Set up whatever your tasks will depend on:

  • Documents to sign or acknowledge. Agreements and acknowledgments use documents from Forms & Documents. Publish the document before you add it to a task.
  • Guardian names. When a parent signs, Mosaic checks the name they type against the name on record. Make sure guardians’ legal names are correct.
  • Tuition and billing tasks. Payment contract, Balance cleared and Fee paid need Tuition and Billing, switched on for your school in the Tuition & Billing settings. Until it is, these task types can’t be selected, and any that already exist are hidden from families and don’t count toward Pass to Class. Fee paid also needs the fee to exist in Cashier Settings.
  • Admissions checklist tasks need your school’s admissions requirements, set up under School Settings ▸ Admissions Requirements.
