What Families See

What a parent sees when your school sends them a checklist, so you can answer their questions.

A family sees the Action Center only once the school has assigned them something.

  • If notifications are on, guardians receive an email, “New items to complete”, with a Go to your Action Center button. It goes to every guardian, in the language they use for the portal.
  • The family portal’s menu shows Action Center with a count of tasks still to do.
  • The portal’s home page shows a reminder until everything is finished.

The Action Center lists household tasks first and then each child’s tasks, with a progress bar. Tasks that are finished, or that need nothing from the family, fold away.

TaskWhat the parent does
Contact updateClicks Start. For each section, chooses Everything’s correct or Something needs updating, then clicks Review completed.
Medical updateThe same review, covering each child’s medical information.
Signed agreementReads the document, initials each clause, chooses who is signing, types their full legal name, and signs by typing or drawing.
AcknowledgmentReads the document, chooses who is confirming, and clicks I acknowledge.
Payment contractClicks Sign it to sign the contract on the Tuition page. If the school hasn’t released the contract yet, the task says so.
Balance clearedSees the amount due, with a link to their finances. The task clears itself once they have paid.
Fee paidSees the fee and the amount due. The task clears itself once the fee is paid, or if the fee is part of a payment plan.
Admissions checklistSees that the school is checking this automatically. The family brings documents to the office as usual.
Staff-verifiedSees “The school will mark this for you”. Nothing to do online.

The name a parent types when signing must match the name the school has on record. If a parent can’t sign because the name is rejected, correct the guardian’s name in Mosaic.

With Each parent agreements, every custodial guardian signs separately (each chooses their own name under Who is signing?), and the task completes when the last one has signed.

If a task is optional, the parent can choose No thanks, and Changed my mind to undo it.

  • Everything a family has signed or acknowledged stays under Signed agreements. They can open each one to see exactly what they signed.
  • When a checklist is stopped, expires or is archived, it moves to Past checklists, where the family can still read it for 12 months.
  • Mosaic doesn’t send a confirmation email when a family completes a task.

Students who log in to the student portal don’t see their family’s tasks and can’t sign anything. On a Pass to Class checklist, students see their pass card, with a note that their family needs to finish some steps first.
